Bookkeeping
All businesses need to regularly maintain a chart of accounts as part of their regular business procedures, generally referred to as ‘bookkeeping’.  Some businesses employ a full time bookkeeper, while others contract with their accountant to maintain their accounts.  Both of these options are costly. Some small business owners maintain their own accounts, but this takes their valuable time away from actually running their business. An external contracted bookkeeper can free the business owner from the tedium and time consumption of managing their own accounts, while greatly cutting costs by not having to hire a full time internal employee or paying the higher costs charged by an accounting firm. An external bookkeeper can usually maintain the accounts of a small to medium size business in as little as four to six hours per week, while performing the majority of the work offsite.  This includes (but is not limited to) income and expense tracking, general ledger, bank reconciliation, financial statements, etc. In some instances, however, this can vary depending on requirements. Payroll Account Management
Most businesses have regular, full or part time employees, which requires the business owner to complete standard payroll tasks.  These tasks include keeping a set of accounts, calculating payroll deductions, and writing checks.  As with bookkeeping, this can be a tedious and time consuming responsibility for the business owner, and require the business owner to keep up with current payroll tax schedules as well as other types of deductions. Some business owners pay an accountant to handle this task, and some contract with a dedicated payroll service.  We work with business owners to set up an automated payroll system that would be much more cost effective than either of the above, while relieving the business owner of this weekly task.  We do not handle or distribute payroll funds, but rather we simply help the business owner automate this task and relieve them of the necessary bookkeeping. The business owner simply submits employee hours to the bookkeeper on a weekly basis, or bi-weekly as the case may be, and the bookkeeper in turn updates the chart of accounts to reflect the expense, and provides the printed checks to issue.  We can help set up and work with either a check based or direct deposit based payroll system, or a combination of the two.
Billing Automation
Billing automation, as the title implies, is the process of automating both your payables and billing processes.  The procedures for this process are business dependent, because each business will handle these functions in different ways.  No two businesses are exactly alike in this context. Basically, however, we can set your business up to pay both recurring and non-recurring bills (payables) digitally, or at a minimum automate the process up to the point of actually mailing the payment. We can also automate the process of generating invoices (receivables) for clients or customers, and even set up an automated online payment facility for your clients and/or customers to pay you online if this suits your business model.
